All Members of Columbus REALTORS® …

Allowing me to serve as your MLS Director for 43 years will always be considered a major blessing in my life.    As one door closes for me June 30, another opens July 1 and a new life direction begins.   Where God leads I have simply learned to follow faithfully.    Please know that your outpouring of calls, eMails, cards, visits have been most appreciated and encouraging and have created a lasting memory.

Your incoming MLS Director, Bryan Dean, is a 16-year veteran of MLS as your former Technical Services Manager.     He is ready to help guide this industry through the challenges ahead and will be supported by your talented and experienced staff at Columbus REALTORS®.     It is my belief that together you will overcome any obstacle that appears harmful to this industry and provide the leadership to help bring you amazing technologies of the future.

As your MLS, hopefully we have been successful in attending to your real estate needs and been attentive when you shared your concerns.     The years have allowed us to witness significant changes in all facets of real estate and those likely will continue but at an even greater speed.     Our goal has been to be responsive to your comments and concerns and together work through any issues you identified as best we can that’s allowable within the framework of NAR and MLS policies.

You are dedicated professionals providing many families with the keys to the American Dream of homeownership and we take great pride in being a part of those efforts.   Thank you for being who you are and doing what you do … you are truly remarkable.   God bless you always.

MLS User Fees for Non-Members Effective October 1, 2014

For the last few months, an MLS Security Task Force has carefully examined how, by whom, and for what purposes our MLS system is being accessed.   The Task Force approached their study with two priorities:

  1. MLS should know exactly who is accessing our MLS system; and
  2. MLS should take all reasonable steps to promote the security and confidentiality of our brokers’ MLS data.

The Task Force reached the following conclusions and recommendations.

Who has access to our MLS?

Members have access. Members accessing the system include: MLS participant brokers, their agents, appraisers and other affiliates, and all pay the annual MLS access fee (currently $265) or other, even greater, fees.

Non-members have access.Others who legitimately access the system include: office admins, non-member assistants, non-member appraiser assistants, and photographers, and all generally do not pay fees for use and support of our MLS but have access to all features of the MLS and to our brokers’ data.

There are software and other third-party developers who have been authorized and pay for vendor access.

How can we promote more secure access?

Our new Flexmls that went live this past February provides the ability to monitor the uses of the system, as well as the ability to identify the sharing of passwords.   Many of our current users have requested additional, simultaneous logins – which have been provided – but only as an intermediate step toward more secure access to our system.    Since February, our MLS has actually issued alerts to some members of probable password theft and subsequently has required those members to change their password accordingly.

The MLS Committee and Board of Directors recently adopted the Security Task Force recommendations to implement the following steps to promote more secure access to our MLS:

Beginning July 15, the Flexmls system will allow access by each password to only one session at a time; meaning, the MLS password may not be shared and a simultaneous use will no longer be possible. A subsequent log-in with the same password will disconnect a prior log-in.

  • Each person accessing MLS must be registered with MLS, and any non-member user must be specifically authorized by a MLS participant broker.
  • Each person will be assigned a unique username and password.
  • Beginning October 1, a quarterly fee of $36 will be charged to offset costs of providing access to MLS and Realist to users in the non-member categories. (*Note – Each broker office that pays the Monthly Office Fee will be provided an office admin access without the additional $36 fee. Offices with 10 or more agents will be entitled to additional admin users. )

1 Office admin per 10 agents in office, or portions thereof. Example:

1 – 10 agents qualifies for 1 Office Admin

11 – 20 agents qualifies for 2 Office Admins

21 – 30 agents qualifies for 3 Office Admins

etc.

or

1 Office Admin per branch office.

Non-Member Agent Assistant                   $36 Qtr.

Non-Member Appraiser Assistant            $36 Qtr.

Non-Member Photographer                      $36 Qtr. (Restricted access)

Implementation Schedule

June                   Registration period of non-member users begins and must be completed by July 14.

July                    Beginning July 15, each user (those with their own login name and password) must be registered to have MLS access.

August               Non-member users are e-notified of quarterly payment due for 4th qtr.

October 1           Non-member MLS access automatically denied unless user fee is paid.

Important notes

Non-member access fees are non-refundable, but are transferable upon request by participant broker.

The Super-User setting enables any member of a team to first log in to MLS using their own password, and then super-use, doing business as the team leader.   Please contact MLS for authorization to super-use on a team.

Office Admins will continue to be provided the same level of access to office listing inventory as the broker. As such, ONLY Brokers can request an Office Administrator account to be created.

The new non-member access policy and fee should not affect the vast majority of current MLS subscribers, unless they provide their MLS password to others, a practice that is a violation of current MLS Rules and Regulations (and a $500 fine.)

Are You Super? Superusing in Flexmls

Flexmls allows users the ability to “superuse”.  What does “superuse” mean?

Superusing is the ability to log in as yourself but “switch users” and perform actions on the MLS as a different user. Any changes made will behave as if they were done by the person you are superusing “on behalf of”.  The MLS will log these actions as being done by the “superuser” working as the agent (both users appear in the tracking log). This ability is particularly useful for unlicensed assistants or members of a team. It allows for increased system security and tracking of changes, but allows the same basic functionality as sharing a login (which is not allowed).  Each user has an single individual username/account. The superuser can “do business as” the person who has granted them superuser permissions.

To grant superuser access to users who need access to your account:

1) Download this form: MLS Superuser Authorization (be sure to list all specific people you want to allow to “do business as you”.

2) Email the completed form to:  techsupport@columbusrealtors.com .

Flexmls Feedback Request

It has been slightly over 100 days since we transitioned to the Flexmls system from Tempo/Fusion. Conversions are always filled with a few unexpected glitches and there is always some level of a learning curve. The MLS staff has taken over 7000 calls or emails over this time period and the staff at FBS (your MLS vendor) took almost 5000 while they were assisting.

We know there are some remaining issues that need addressed. One of primary importance is the ability to have emails sent out on an ASAP (hourly) basis. This is coming in either late June or early July. The other commonly reported issues are with Days on Market calculations and problems with the delivery of client emails. Both of these are ongoing issues that FBS is working to resolve.

Other than the three items mentioned above we expect there are some things that you believe are either missing or could be done better. We would really like to hear about these. We are happy to learn about the things you like as well but we really want to know what we can do to make your new MLS system even better.

The link below will take you to a page where you can provide any feedback you care to share. The submissions can be anonymous but if you include your email address we will make sure and reply to you. It might take a while for a reply based on the number of submissions received and the time it takes to research your specific inquiry but we will reply where possible.

It’s not often you get asked to tell us if we are doing something wrong, what is broken or what we need to add but here is that chance. Please let us know how we can improve your new Flexmls system for you and your clients.
