New Member Lookup Interface on Add/Change

Note, these changes will mostly affect Brokers/Office Administrators when entering listings. Those closing listings will see the same interface. Today, our vendor enabled a new member lookup interface for entering/closing listings. To work with the new interface:

Click on the lookup box with your mouse or pointer. On the line that appears, you can start to type out the name or license number of the member you would like to add. Once they are displayed, you can select the name to have it fill in the line.

As seen above, the new member lookup interface will show on the Add Listing screen. Additionally, the new member lookup box will appear when selecting members on the Edit Listing/Selling Members screen, on Status Change screens, and when Transferring listings.

RESOLVED – Updated 12/05/16 : Flexmls Email Delivery Delayed

12/05/16 – Update: As stated by FBS, the email capacity was restored by 5PM Friday evening. Throughout the weekend, they were monitoring the system and did not see any failure. The vendor will be continuing to monitor the situation, but all items have been caught up.

At approximately 11:40pm (Central) on Thursday, December 1st Flexmls has experienced slowdowns with the storage system used to provide the My Sent Emails feature. Those slowdowns were impacting other services so we took the collection offline. This caused some issues with prospecting overnight and those were addressed this morning. Emails sent in the overnight hours are delayed but have been going out. They are expected to be caught up around 5pm today.

Flexmls is also working to restore data for My Sent Emails in a way that doesn’t reintroduce performance issues. In the meantime, you’ll likely notice less data than you are used to when accessing this feature.

MLS TIP: 72 Hours to Mark Listings as Closed on MLS

There have recently been many reports of listings that were not closed in a timely manner.  MLS Policy mandates that a listing must be marked Sold in the MLS within 72 hours of the actual closing.  If the 72 hour limit falls on a weekend or federal holiday, the change must be made on the next business day.

Actual MLS Policy:
1.02.04 – Non-Reported Closing (Solds)                                                                                  Fine with Warning

Warning, $100, $200, $500

All sales closed must be entered within 72 hours from the actual closing/funding date except weekends and federal holidays whereby the closing information is to be entered the following business day except HUD listings that are to be updated within 72 hours of either (1) Asset Manager’s notice of closing or (2) the county auditor or Realist published sale information for the property.

Vendor Update – Flexmls System: Enhanced Star Rating System in the Portal

This article documents a change the MLS vendor, FBS, has put in place for all MLS’s that utilize their Flexmls system. This change went live late 11/30/2016.

Flexmls Classic Portal
When you use the Portal, users can click the star icon from any tab to save listings from their News Feed, Searches, or Listing Collections. Saving a listing automatically saves it with a one star rating. Once a listing is saved and then viewed in the Saved collection, users can now rate listings with up to three stars to help sort and track their favorite saved listings. The 3 star ranking system only appears once there are more than 1 listing marked as saved. Once there are more than 1 item, clients can use the star rankings to help sort their saved listings.

Flexmls iOS Client App and Mobile Web Portal
When using the iOS Client App or mobile web Portal, users can tap the star icon to save listings from their News Feed, Searches, or Listing Collections. Saving a listing automatically saves it with a one star rating. From the Saved tab, users can tap to view their Saved listing collection and rate listings with up to three stars to help sort and track their favorite saved listings.

Viewing Star Ratings as an Agent: Flexmls Web
You can view a contact’s star ratings by selecting a contact in Contact Management, going to their Portal tab and clicking their Saved collection.

Regardless of whether you use the new Portal or classic Portal, you will see the classic Portal layout when you view a contact’s Portal from Flexmls Web. When viewing a contact’s Saved collection, you can see how many stars they’ve given each listing or add and remove stars at your contact’s request.

Viewing Star Ratings as an Agent: Flexmls Pro and Mobile Web
In Flexmls Pro for iOS or from Flexmls Mobile Web, go to the Contacts tab and select a contact. Tap Collections and then Saved to view the contact’s Saved collection which will include the new multi-star rating system.

If you would like to change the star rating on behalf of your client, tap the stars next to a listing, then select the number of stars the listing should have.

Recent Crime Alerts – November 2016

He’s back – David Gale Scott
This guy, who keeps making cash offers on million-dollar plus homes then walks away from the deals, is back. The agent who was going to show him her listing had a weird feeling about this guy. He was being aggressive and way too friendly over the phone and in text messages, so she mentioned it to another agent in her office to have the agent keep an eye on her via the Real Agent Guard app. When she told her colleague the guy’s name, her colleague remembered seeing the posts about this guy in alerts. He asked if she was married and had children…he mentioned bringing a female friend, but was hesitant to bring her, or she would want to move in to the home with him, haha (his words).  He was trying to be very flirtatious via text and the agent just kept ignoring and answering questions only about the home. Again, just another reminder for agents to be aware of this fraudulent buyer.

 

Tenant moves in to a HUD property listed for sale and claims to have a signed rental agreement
Vicki Shaffner, Saxton Real Estate, reported that she had went for a final inspection of her HUD property (which was in contract and scheduled to close the following week), and found that a woman had moved in to the home; stating that she had signed a rental agreement and paid the supposed landlords $2,000 in cash. The woman further stated that she had found the name and number of the fraudulent landlords (Patty and Richard) on a bulletin board at the BP down the street from the property. She also stated that they had drove her pass several vacant HUD properties before selecting Vicki’s listing. They handed her the keys and she paid them in cash. Vicki did check with BP and was told that they didn’t have a bulletin board. Vicki’s sign and lockbox had also been removed. Reports were filed with both the police department and HUD.

Policy Violation Manual Updated – New Policy for Buyer-Related Comments

You can now download the latest review of the MLS Policy Violation Manual.  The manual has been updated for November of 2016.

One notable change is the new policy regarding comments specific to buyers (1.02.13) listed below. The manual can be downloaded in PDF format here.

1.02.13 – Comments Specific to Buyers in the Property Description Field

 Comments specific to buyers or buyer-related information, including financing concerns, are not permitted in the Property Description field.  The comment “Back On Market – See Agent to Agent Remarks” is permitted. MLS staff is authorized to delete wording as needed to make the Property Description compliant with this policy.  The policy will be effective Immediately with enforcement beginning November 1, 2016
