Manual Emails Sent Between 7/5 3:00pm and 7/6 4:00am May Need Resent

We just received word from the software vendor that manual (agent sent) emails sent between the time frame of approximately 7/5 4:00pm and 7/6 4:00am (or within an hour or two of that time frame) if not received by now will need resent.

The re-sending of subscription/automatic emails should not be necessary at this time. This only applies to emails manually sent by the agent.

If you or your client has not received an email by now that you manually sent during that time frame, please follow the instructions below to resend the email:

1) Log into Flexmls at http://cr.flexmls.com
2) Hover over “Contacts” and click “My Sent Emails”
3) Find the email you want to resend, then click the “Send” button to the right.
4) Choose your contact from the list (or type in their email address manually), write a subject and message, then click the button at the bottom (the name of the button will be “Email” or “Send Page”) to resend the email.

Our vendor apologizes for the inconvenience. They have stated that as a result of the unfortunate scenario that occurred, they will be working on implementing a future enhancement to allow them to automatically resend emails even that have gone past the timeout period to prevent dropped emails during long period of outage or delays. In the mean time until this feature is built, they have taken an immediate action to lengthen the timeout period in order to reduce the likelihood of dropped emails should the email provider delay occur again in the next few days.

MLS email delay issues – 4:30pm 7/5/16 – MONITORING

The Flexmls system was experiencing email delays between approximately 7/5 4-4:30pm to 7/6 4:24am. This delay issue was unexpected and not planned. The last update from the vendor was: “all email delivery has returned to normal, and the backlog of queued emails has been completely sent”.

Below are the history of updates from the software vendor regarding this issue:

As of 3:10am Central [4:10am Eastern], all email delivery has returned to normal, and the backlog of queued emails has been completely sent.

Our email delivery provider continues to work on the issue, and we’re continuing to monitor the situation. We will here as soon as we have more information.

Customers are experiencing delays on email delivery for emails sent via the flexmls system. This is due to an issue with our email delivery provider. They’re working to address the issue.

Realist Service Issues – 3:00pm 7/5/16 – MONITORING

Realist issues have now been resolved according to the vendor. Outages and intermittent service issues lasted from approximately July 5, 2:58pm EDT to July 6, 8:29am EDT. The outage was unexpected and not planned maintenance.  Auto-population of tax data for new listings may have been included in this service interruption.

Below were updates from the software vendor for this Realist issue:

Holiday: Closing Early Friday 3:30pm; Closed Monday for Independence Day

The Columbus REALTORS® association headquarters will close early on Friday, July 1st and all day on Monday, July 4th in observance of Independence Day. The association will open for normal business hours on Tuesday at 8:30am.

MLS Policy Tip: For Sale Signs Cannot Be Visible in Photos

Pictures on the MLS cannot be branded in any way.  This applies explicitly to your “For Sale” sign.  MLS photos are available to the public through MLS email and broker-operated websites.  For this reason, For Sale signs are considered very volatile and are subject to an immediate $100 fine. It doesn’t matter if the signage or other branding is on the primary or secondary photos.  It is an MLS policy violation and you will receive a fine.  Please check your listings photos for possible violations for yard signs or any other branding on your photos. Please review the actual MLS policy below.

Policy 1.03.05 – Unallowable Data on Photos and Public Documents – Fine with No Warning
$100, $200, $500 (escalated for additional infraction)

No marketing devices of any type (e.g., logos, readable for sale signs, company names, phone numbers, Web sites, e-mail addresses including embedded, overlaid or digitally stamped information etc.) shall appear on or with any photos or public documents except for the following:

  • Any listing with the MLS watermark “CR” must allow it to remain visible on the photo.
  • Any Build-to-Suit listing whose primary (first) photo must display one of the MLS images provided.
  • Any listing whose altered primary photo or image (whereby that primary photo or image displayed would not be what was visible at the property location) must display on that primary photo or image the words “Not Actual Property” in 36-point type or larger.
  • An image may have text overlays added on primary and secondary photos provided it is descriptive or informative of the property and it is not misleading, branded or leads to branding, i.e., no agent or brokerage information.
  • No people are permitted in the primary photo. People may appear in secondary photos.

CoreLogic will be performing Realist system maintenance on the Morning of June 29, 2016 from 1:00 am to 2:00 am. Realist will be available during this time, however the print/save/email functions will be unavailable during this maintenance period.

Accessibility Features Worksheet Updated: New Selections Added for Elevator and Stair Lift

Two new selections have been added to the existing Accessibility Features Worksheet.  These new selected, Elevator and Stair Lift appear in the “Other” section of the form.  The Accessibility Features Worksheet is required when the MLS field “Accessibility Features” is set to Yes on a listing.  Agents are highly encouraged to attach the completed form to their listing in the MLS.

The Accessibility Features field acts as a notification that a property has Accessibility Features ‘of some kind’.  The required Accessibility Features Worksheet allows the agent to detail the degree of accessibility.  The form has been updated to include options for Elevator and Stair Lift.

Delayed Showing Authorization Form – Now Required for Listings with Future Showing Start Date

A new Delayed Showing Authorization Form has been created and adopted for use with listings that utilize a future Showing Start Date. The form is required for any listing for which the Showing Start Date is after the List Date. (Example: List Date June 1, Showing Start Date June 10.)

Brokers are permitted to formulate their own version of the form provided the substitute form contains at least the same requirements as the MLS version of the form.
