Rooms Field: 3-Season and 4-Season Room (Previously Florida Room)

The Rooms field has 2 new selections in Residential and Res Rental. One item, “3-Season Room”, is new.  The other item was relabeled from “Florida Room” to “4-Season Room – Heated”.

Please remember that the new selection “3-Season Room” will take time to be fully searchable. New fields can take months to be fully populated with accurate selections as new listings are added and existing listing are updated by the listing agent.  No listings were automatically mapped to this new selection.  If your listed property has a 3-Season Room, you must manually edit your listing to select this item in the Rooms field.

All listings that previously had “Florida Room” selected have been automatically relabeled “4-Season Room – Heated”.  If this does not correctly describe your property, please manually edit your listing to reflect the correct selections in the Rooms field.

Resolved – Flexmls Issues: Photo and Doc Upload, Listing Export

FBS reports that the previous issues have been resolved.

As of 11am, FBS has reported issues with several functions in MLS.  Errors are generated including “504 Gateway Time-out”.

The affected MLS functions include:

  1. Uploading listing photos
  2. Uploading documents and attaching them to a listing
  3. Exporting of listings to a spreadsheet.

We will update this story on the message board when the issues have been resolved.

Recent Changes and Enhancements to Flexmls

  1. Detail fields now display in a single column on Results screen
    1. Previously, fields with multiple pick list items could not be displayed on the Results in Flexmls in a single column. Each item would have its own column.
    2. Fields such as Parking Type, Basement Description, etc. were affected by this limitation.
    3. This is now corrected and multi-pick fields are now summarized in a single column.
  2. Summary information for viewed subscription emails on Contact Management
    1. In the “email activity” section on Contact Management, you will see a new label ‘Subscriptions Viewed”. This will quickly indicate how many email the contact has viewed.
    2. There is also an SV column on the Contact Management screen that will display the same number for quick reference.
    3. Clicking the number in the SV column will take the user to the Subscription details for that client on the My Sent Email page.
  3. Multiple PDF attachments can now be printed simultaneously
    1. Previously, if multiple PDF documents were attached it was difficult to print all simultaneously.
    2. FBS added a print button on the screen to allow easy printing of all PDF documents.
  4. New Columns available on Contact Management: Date Created and Date Modified
    1. Date Created displays the date the contact was created in Flexmls
    2. Last Modified shows the most recent date and time the contact was edited by the agent.
    3. Either new column must be manually added to the Contact Management fields under the Advanced button.
  5. Improved Sync for Subscriptions between Flexmls Pro App and Web
    1. There were issues with subscriptions created in the App that would not appear on Flexmls Web.
    2. FBS has improved the syncing of these changes.
  6. Flexmls Pro App for iOS Updated – 2.4.0
    1. New version 2.4.0 available now in iTunes app store.
    2. Version features: improved sharing, login less frequently, search listing collections, improved sorting, and other minor enhancements and bug fixes.
  7. Portal Preference change: Include becomes Exclude – Coming October 19
    1. Currently, the “News feed” settings on the Portal preferences is “Allow these statuses in the portal news feed”.
    2. This function will be reversed. The description will be “Exclude these listing statuses…in the news feed”.
    3. There will also be a “per client” setting on the Portal tab on Contact Management under “Change Settings” link.
  8. Centralized subscription settings – Coming October 19
    1. By default, Subscriptions include New, Price Change, and Status Change listings.
    2. These settings can be modified on the Save Search Screen.
    3. These settings will be added to the Portal Preferences screen as well. This will centralize modifications for all statuses to be sent to all subscriptions.
    4. There will also be a “per client” setting on the Portal tab on Contact Management under “Change Settings” link.

Saturation Analysis Report has been Restored to the Statistical Reports

The Saturation Analysis report was temporarily removed from the Statistical reports due to confusion about the formula used to calculate the report.  The report was removed until the calculation was verified by FBS.  Additionally, the criteria used to create the report is now displayed at the top for further clarity for members who use this report.

This report has now been restored to the Statistics menu in the Inventory and Production section.

SqFt Documented: Formerly SqFt Tax Record – Label Changed. “Source” Field Coming.

The field “SqFt Tax Record” has been relabeled “SqFt Documented”.  This label was changed by the MLS committee to more accurately describe the field.  Since documents other than the tax record (auditor) can be used to update this field, the MLS committee felt the new name was more accurate.

In the the coming weeks, a new field called “Documented SqFt Source” will be added directly below the “SqFt Documented” field.  The “Source” field will be used to identify the document source for any change to the “Documented SqFt” field.  Realist will continue to auto-populate both SqFt ATFLS and SqFt Documented (formerly Tax Record) fields.  If Realist successfully auto-populates both fields, then “Realist” will be entered in both ATFLS and Documented “Source”.

Although ATFLS Source can be modified, the new Documented Source field will be locked.  Agents must contact the MLS staff in order to modify the “Documented Source” in order to verify the source documents.  Acceptable documentation will be: Appraisal, Auditor, Builder Statement, and Floor Plan.

Showing Start Date: Cannot be Edited After Initially Set Until Additional Software Restrictions in Place

The Showing Start Date (SSD) field is allowed to be no more than 30 days after list date (30 days in the future).  It is also not allowed to be edited after the SSD has passed.

Currently, the software is allowing the SSD to be edited even after it has passed.  FBS is working to correct this bug.  In the meantime, the ability to edit the SSD after the listing has been made active has temporarily been turned off.  This is to prevent the SSD from being modified after it has already lapsed.

The ability to edit the SSD will be reactivated as soon as the software can prevent modification of the field after the date has passed.

Realist Downtime: Scheduled Maintenance – Saturday, September 24 – 11pm-4am

CoreLogic will be performing system maintenance on the evening of Saturday, September 24, 2016 beginning at 11:00 PM through 4:00 AM the following morning. Realist may be intermittently unavailable during this maintenance period.

Agent private link sent in agent copy of manual email

Agents will now be able to link directly to the private, agent-only reports from manual email.

  1. Previously, only subscription auto-email contained links to the private version of the report in the agent copy.  Agent copies of manual email did not have the private report links.  This required the agent to copy the MLS# and open a new MLS window to see the private reports.
  2. The yellow box at top of email identifies “Agent Only” links. This yellow box with link to private reports will now appear on all agent copies of email (subscription and manual).  The agent can now simply click the private link to see the agent-only private report.
  3. Public links are still accessible by clicking the link in the body of the email (same as subscription email)

Subscription email addresses now confirmed/opted-in by viewing manually emailed listings

Listings emailed to the client manually now function as “opt-in” for that client’s email address.

How the new opt-in process works:

  1. If a contact clicks a manual email link from the agent, it will count as confirmation of their email address and allow them to receive subscription updates
  2. An additional line of disclaimer text was added to manual emails: “By clicking a link in this email, you agree to receive future listing-related automatic emails from your real estate agent.”
  3. Each time a contact clicks a link within a subscription or manual email will extend the expiration 13 months.
  4. If the client has previously opted-out of subscription email, clicking a manual link will function as opt-in for subscription email.  This will limit the need for agents to use the “send opt-in request” option.  Simply sending a listing to that client’s email address will function as opt-in confirmation (once link is clicked).

Subscription confirmation/opt-in email updated

The wording of the initial subscription opt-in email and confirmation screen have been updated as of September 12, 2016.

Notable changes include:

  1. Text updated to “We’re excited to be helping you with your real estate needs. We’ve set up a free portal for you. To get started, click the button below to confirm you want to receive email updates from [agent’s name].”
  2. Confirm Button updated to “Yes, Please Send Me Listings.”
  3. Clicking “Yes, Please Send Me Listings” now displays a confirmation of subscription opt-in and allow the client to view their News Feed by clicking View Listings.
  4. The Manage Subscription link will allow them to unsubscribe from listing updates.
