Schedule a showing in Flexmls? Here’s how!

One of the more common questions we have received with Flexmls is how to find the Showing Request button. To do so is quite easy!

1.  Run your search. This can be from a standard Quick Search, Map Search or hot sheets.

2.  Click on the LIST tab to view the entire list of your results.

3.  Find the listing you wish to schedule a showing in the left hand list. Look for the corresponding MLS #. To the right of this, you’ll see a downward facing arrow (▼)

4.  Clicking on this arrow (▼) will give you several options (see screen shot below). If you choose Showing Request,  you’ll be taken to any online showing service the listing brokerage may be utilizing. If one is not available, you’ll be told after trying the button — in these instances, you can still use the “Showing Phone #” shown on the listing and call your showing in.

Appraisers One Line Report – Parking Type, Basement, and Addl Acceptance Conditions

Many appraisers and Realtors use the Parking Type, Basement, and Addl Acceptance Conditions field.  In flex, they cannot be displayed on the default view (results list).  However, a report has been created that will display all three of these fields on a “one line report” that can be used “like a view”.  The results are limited to 200 properties at a time.

To view the Appraisers One Line Report:
1) Select the properties you want to see in a one line view that includes these fields.
2) Click on Print at the top right of the flex window.  3) Choose selected or all properties (only 200 listings can be printed in this report at one time)
4) Choose the “Appraisers One Line” report in the Detail report drop down
5) Click Preview at the bottom if you want to see the report before you print it.
6) Click Print at the bottom (you may want to change your printer properties to landscape)

A2A – Agent to Agent Remarks Can Be Emailed on Private Reports, not Public

There is a very important change in the way A2A Remarks is handled in email.  In flex, A2A can be emailed on Private (Agent) Reports, but still does not appear on Public (Buyer) Reports.  In Tempo and Fusion, A2A could not under any circumstances be emailed, even on Agent Reports, but it could be printed or PDF created.  Please read the Help Text (below) that appears on Add/Edit beside the A2A Remarks field when entering the listing.

Agents should never email the Private report to their clients because listing agent contact information AND the A2A Remarks will display on this report.

This field is for AGENT ONLY COMMUNICATIONS.   Limited Service disclaimers, and information that is intended for Agents’ eyes only.  THIS FIELD WILL APPEAR IF THE PRIVATE (AGENT) REPORT IS SENT TO THE CLIENT.  It can be printed.  It appears on the Agent Full report.  Be cautious regarding the contents in this box.  Although the public reports will not display this field, if other agents choose to provide the private report to their clients by email or printed report, it will be visible.

Map Location: Check Your Listings’ Geo-code

All listings have been automatically geo-coded in Flexmls.  Previous manual geo-code in Tempo may have been changed by the the Flexmls geo-code process.  Also, a small minority of listings were unable to be geo-coded.

As with all automatic property location services, errors can occur due to incorrect or incomplete geographical information about a property.  For this reason, it is highly recommended that you pull up your listing on the map to verify that it was geo-coded correctly.

If the icon on the map appears directly on the listed property, the geo-code is correct.  If the icon is not located correctly, you should complete the following steps to re-geocode (set map location) for your listing:

1) go to Add/Change menu
2) click Change
3) type your MLS number in the box
4) click Next
5) Click Map Location
6) move the “red pushpin to the correct location”
7) Click “use this location”

Geo-code is the effective latitude and longitude location of your listing. It is very important for polygon map shape searching.  If your geo-code is incorrect, the polygon searches will not be able to accurately locate your listing.

Conversion Timeline Update

January 31 – NO ADD/EDIT ON EITHER SYSTEM – 4am

  • No listing add or modification will occur again until February 3, 2014 at FlexMLS go-live.
  • Add/Edit will be turned off in ALL systems (Tempo/Fusion and Flex)
  • Users will still have search access on Tempo/Fusion and Flex
  • Users SHOULD NOT MAKE CHANGES to Contacts in Tempo/Fusion after 4am.  All Contacts and Saved Search changes should be made only in Flex at this point.
  • Users should create new Saved Searches and Contacts in FLEX ONLY.

February 3 – Flex Goes Live – Noon

  • Tempo/Fusion gone.
  • All Add/Edit and Search will occur in flexmls only
  • Hot Sheet will be fully functional
  • Members will continue to log in with the username and password (no passwords will be overwritten if they have been set by the user)
  • Automatic email events will begin to send for users who have set them up

Feb. 3 – Final Day for Access to Tempo/Fusion

Tempo and Fusion (and Kurio) will all cease to exist on Monday, February 3, 2014.  Columbus REALTORS® will have only Flexmls at that time.  There will be no future access to Tempo/Fusion after Monday, Feb. 3.

All MLS users should be familiarizing themselves with Flexmls and finish re-creating their Saved Searches and Backing Up Contacts from Tempo/Fusion this weekend.

WEBSITE (FlexMLS):
cr.flexmls.com

USERNAME: license number (current Tempo login) preceded by “cr.”
Example:  cr.10010100 (don’t forget the DOT.  Your login is CaSe SenSitiVe.)

PASSWORD: crnow
You will be required to change your password to something else.  Your password is also CaSe SenSitiVe. Normal 90 day password changes still apply.

Backup Your Contacts – An MLS Conversion To-Do List

Contacts were transferred into Flex from Tempo/Fusion on November 20, 2013.  There have been a LOT of changes since then.  There will be one more update to contacts prior to February 3, 2014.  If there is a problem with your contacts at that time…you better have a backup.  It is very easy to backup your contacts.  The entire process takes about 3 minutes.  Please backup your contacts.  You should always have a backup, regardless of the situation. At a time like this, you NEED a good backup.  If everything goes well, you wasted 3 minutes.  If anything goes wrong, you have a backup.

Steps to backup contacts for Fusion users (takes about 3 minutes):

1)      Go to Contacts > Contact Manager at the top
2)      Click Tools > Export at the top right
3)      Make sure “ALL RECORDS” is selected
4)      Choose Data Export Format “Tab Delimited”
5)      Select Export Grid Format “BACKUP ALL CONTACT FIELDS”
6)      Check “Include column headers”
7)      Click OK
8)      When prompted to save the file, not the name and location (probably the DOWNLOADS folder)
9)      Find the downloaded file on your computer. Rename the file and you’re done.  You’ve backed up your contacts
