Newsfeed and Portal Changes: May 4 – Choose Landing Page for Subscription Email

On May 4, users will be able to decide what happens when their client clicks a link in subscription email.  The link can go to the news feed as it does now (this will remain the default), only the listings in the email that was clicked, or all of the listings that match the saved search. In addition to this, the Portal menu design will change to allow easier access to the user’s saved searches.

Users Can Customize Their Portal Preferences
There is a new Portal Preference: Listing links from email show: This setting determines what happens when a recipient clicks a listing link in a subscription email. By default, it is set to the MLS Default option (the option also tells you what the MLS Default is).

If you would like to change where subscription links open, go to Preferences > Portal Preferences and choose one of the other available options:

  • News Feed – Subscription links will open in the recipient’s news feed showing the selected listing. As before, the news feed contains up to 200 of the most recent listings your contact has received from their subscriptions. Your contact can use the menu to navigate to their Searches, Saved Listings, Custom Collections, and more.
  • Emailed Listings – Subscription links will open showing only the listings in the recipient’s subscription email. If it is an ASAP subscription, there will not be a List tab as there is only one listing to view. Your contact can use the menu to navigate to their News Feed, Saved Searches, Saved Listings, Custom Collections, and more.

·  Saved Searches – Subscription links will open to the selected listing within the Saved Search that generated the email. Your contact can use the menu to navigate to their News Feed, different Saved Searches, Saved Listings, Custom Collections, and more.
Please Note: If you set a Portal Preference other than the MLS Default, it will become the default for all of your contacts.

Set the Subscription Landing Page for a Specific Contact
To set the subscription email landing page for specific contacts, go to Contact Management, select a contact, and click the Portal tab. Select Change Settings and then set the Listing links from email show: option.

Please Note: This selection applies to the selected contact only and takes precedence over your general Portal Preference setting.

Preview Mode and the Subscription Landing Page
If you set a contact’s subscription Preview Mode to On, the recipient will always go directly to News Feed when they click an email link to view approved listings regardless of what Listing links from email show is set to for the user or in your Portal Preferences.

Updated Portal Menu Design
The order of the Portal Menu items will change to allow easier access to the searches saved for the portal user. The News Feed will stay at the top, the next section will contain all the contact’s available searches (and a New Search link for Flexmls IDX subscribers), and the last section will contain Listing Collections (Saved, Hidden, Recommended, and custom collections), manually emailed listings, and any reports sent to the contact via Flexmls. Previously, Listing Collections appeared above Saved Searches in the Menu.

Please note: Only the order of the menu items is changing; labels and custom collections will remain the same. This design change applies to all MLSs, regardless of what the preference User can set their contacts’ subscription emails to open in the news feed, emailed listings or saved search is set to.

Browser Compatibility Warning: April 26 – New SHA-2 Security Will Require Up-to-date Web Browser

On April 26, the Flexmls system will begin using new security (SSL) certificates. This upgrade is necessary because all major browsers are already, or soon will be, restricting access to sites that don’t use SHA-2 certificates. You can read more about this issue here and here.

Please test each computer and browser you use to access the Flexmls system.  Different browsers on the same computer or different computers running the same browser need to be tested independently.

How will this affect users?
Users who already have up-to-date browsers and computers (or phones, tablets, and other devices) should not even notice this change. Users with older browsers may have problems accessing the Flexmls system.

What if my browser fails and is not compatible?
If the test page says Fail, your browser or computer will need to be upgraded to a version that supports SHA-2. You can find compatibility charts at the following web sites:

Once the computer and browser have been updated to the most recent version, check the test page again and you should pass.

Flexmls Pro: New Android Version 2.1.0 – April 25

On April 25, Flexmls Pro version 2.1.0 for Android will be released and available in the Google Play Store. The latest version will include the ability to mark all messages as having been read, the ability to change the price and expiration date for your listings, clickable phone numbers, and more.

Mark All Messages as Read
When viewing your messages, you can now mark all messages as having been read. To mark all messages as having been read from the More screen, tap Messages. Then select the READ ALL option at the top of the screen.

If you select YES, all of your current messages will be marked as having been read. The next time you tap READ ALL when checking your messages, you will receive the same confirmation dialogue box.

If you select YES, DON’T ASK AGAIN, all of your current messages will be marked as having been read, and the next time you tap READ ALL when checking your messages, you will not receive a confirmation dialogue. Instead, all messages will automatically be marked as read.

To cancel, tap the screen anywhere outside of the confirmation dialogue box.

To refresh your messages, tap the screen and pull down.

Listing Maintenance: Price Change and Expiration Date
Change the Price or Expiration Date for listings that you have permission to edit by going to the More tab and tapping My Listings. Select one of your listings and tap EDIT, then tap the Price or Expiration Date in order to edit the field.

Interactive Phone Numbers on Detail Screen
When viewing listing details, all phone numbers will be clickable. Currently Agent and Office phone numbers are interactive, but now other fields that contain phone numbers will be interactive as well (Owner Phone, HOA Contact, numbers embedded in Agent Only Remarks, etc.). Tap on a phone number to bring up the options available on your mobile device such as calling the number, texting the number, or saving the number to a contact.

In addition to the changes listed above, Flexmls Pro 2.1.0 will also contain minor improvements and bug fixes including:

  • Improved responsiveness and speed.
  • Address Searches will now remember your previous selections for Status and Property Type.

Flexmls Network Upgrade: April 14 – 5am – Intermittent Slowness; Possible Downtime

FBS will be upgrading our network infrastructure on Thursday, April 14th. The work is scheduled to begin at 5:00AM and should last about an hour. The flexmls system is expected to remain available during this window but there could be intermittent outages or delays as traffic is shifted over to redundant links.

New Residential Fields – April 20: HOA/COA – Y/N and Manufactured Housing – Y/N

On April 20, 2016, 2 new fields will be added to the Residential property type in the MLS.

The 2 new fields are:

  1. HOA/COA Y/N – field will allow the listing agent to identify whether the property for sale is part of a Homeowners or Condo Association.  The field will be a simple Yes/No selection.  It will appear only in Residential property type.  It will be a required field for all Residential listings.  It will appear directly before the Assoc/Condo Fee field on the worksheet and Add/Edit.  When HOA/COA “Yes” is selected, the Assoc/Condo Fee field will then be required.
  2. Manufactured Housing Y/N – field will allow the listing agent to identify properties that are manufactured as opposed to wood-framed. Manufactured homes are identified by the steel undercarriage/chassis construction as opposed to wooden joist.  One typical manufactured type is a “single-wide mobile home”.  Agents should carefully distinguish between a Modular and a Manufactured home. Read this article for a brief overview of Modular vs. Manufactured.  This new field will appear in Residential and Res Rental.  It will be a simple Yes/No selection.  It will appear directly above the existing Manufactured Housing field on the worksheet and Add/Edit. If Manufactured Housing “Yes” is selected, then the appropriate selection should be made in the already-existing Manufactured Housing field such as Single Wide, Double Wide, etc.

Private reports can now be emailed; requires MLS login; cannot be emailed to clients

Agents now have the option to send the private reports when emailing listings.  Private reports should be sent only to agents.  Private reports contain sensitive, agent only information. These agent-only fields include Agent to Agent remarks, compensation and listing agent contact information.  Private reports are not intended for the public.

CAUTION:  Private reports should be sent only to agents. MLS login is required to view the private reports.

How it works:

There is a new “Version” selection on the email screen.  Agents can select “Private” in the drop down box.  A pop-up message will appear warning the agent that MLS login is required and that private reports are for agents only.

Agents may elect to send the private report link to a peer in their office or to another agent or appraiser who has MLS login credentials.  REMINDER:  Private report links sent in email will always require the agent to login to the MLS in order to view the report.  Only MLS members have these login credentials.  Private reports should never be emailed to the public.

Public versions of the reports are always available to be emailed to the public.  Public reports have been sanitized of agent-only information.  The private agent-only fields mentioned above will not be visible on the public reports.  The public reports do not require and MLS login.

WARNING:  Providing your MLS login to anyone, including a client, is a violation of MLS policy and can result in fines. 

The ability to email private reports was previously deactivated by the MLS committee.  The volatile nature of the “agent-only” fields on the private reports was deemed too sensitive to be viewed without requiring an MLS login.  FBS, our MLS vendor, has added the ability to require MLS login to view the reports.  This prompted the reactivation of the private email option.

Flex Enhancement: Improvements to the Opt-In Status Report

On April 6, the Opt-In Status Report, which shows subscription statuses for all of your contacts in a real-time, easy-to-read report, will be improved to include the following:

  • A Summary tab that contains a quick overview of contacts who are and are not receiving subscription emails.
  • A Contact Information screen will appear as a pop-up when you click a contact.
  • A Search Contacts bar allows you to search for specific contacts.
  • Tool Tips to explain features within the report.

When you access the Opt-In Status Report, it will open on the Summary tab.

The Contacts Receiving Subscription Emails section contains the number of contacts who have opted in and are receiving emails, the number of contacts who have opted in during the last seven days, and the number of contacts whose Confirmed opt-in status will become Inactive in the next seven days. Clicking on a link will take you to the corresponding tab on the report.

The Contacts Not Receiving Subscription Emails section shows the number of contacts whose emails can’t be delivered (bounced or returned to sender), the number of contacts who haven’t opted in (Pending) for more than seven days, the number of contacts that have become Inactive within the past seven days, and the number of contacts who have opted out of receiving subscription emails in the past seven days. Clicking on a link will take you to the corresponding tab on the report.

Contact Information
Clicking on a Contact’s name will bring up an overlay with basic contact information, along with all of their email addresses. For each email address, you can see the opt-in status, last click in a subscription email, and you can send or resend an opt-in request (if applicable). There’s no need to leave the page to get more information. You can close the overlay or, if you like, you can go to the contact’s record by clicking View in Contact Management. To open Contact Management in a new window, right-click the link.

Search Contacts Bar
Click in the Search Contacts bar to bring up a list of your contacts or type in the name of a specific contact to search for them. This searches all of your contacts, not just the contacts on the current screen. Selecting a contact opens the contact information overlay (as shown in the screenshot above).

Active Status
On the Confirmed tab, you may see a new status called Active; this indicates that they were receiving subscription emails before Flexmls required contacts to complete the confirmation email process (before 9-29-2015). Subscription emails are sent even though the contact has not confirmed yet that they want to receive the emails. Since they are not yet Confirmed, they are considered Active. All Active contacts will eventually change to a different status by the end of October, 2016. They’ll automatically become Confirmed if they click any link in any subscription email; Inactive if they never click a link in a subscription email; and Opted Out if they click an opt-out link in a subscription email.

Removed Contacts
If you remove a contact from Flexmls, their name will not appear anywhere in the Opt-In Status report. However, even though you have removed the contact from Flexmls, the status associated with the contact’s email address is still stored in Flexmls. Since you have already removed the contact, they are no longer relevant and are not displayed in the report other than the note that there were contacts that have been removed.
